Parents and Guardians,

As an added measure to help ensure student and staff safety, DCJESD is now requiring fingerprinting through the Department of Justice (DOJ) and Federal Bureau of Investigation (FBI) for all adult chaperones planning on attending any off-campus field trip(s). This updated practice is an extension of the District’s policy that formerly only required fingerprint clearance (DOJ) for chaperones attending overnight field trips.

Important points to know if you’re considering volunteering for a field trip: 

• When getting fingerprints done you must bring the District Livescan form with you (available in your school office).
• Clearance may take as little as 2 days, or longer than a month.  It is recommended that you get your fingerprints completed at least 30 days prior to the planned field trip. 
• You only have to be fingerprinted once with DCJESD.  Once the District receives your fingerprint clearance, your file will remain open until you request to have it closed.  Your fingerprints will carry over from year to year. 
• All fees paid go directly to DOJ ($32), FBI ($17) and the rolling agency (varies).  The District does not receive any portion of the fees collected.
• If financial assistance is needed to cover the cost of fingerprinting, please schedule a meeting with the school principal, so they can assist you in obtaining your fingerprint clearance.  We do not want the cost of fingerprinting to be a barrier for you to participate in your child’s education.

1. I am an employee, substitute employee, coach of DCJESD; do I still need to be fingerprinted to go on my child’s field trip?

• Active Regular, Substitute employees, and Coaches cleared with DCJESD do not need to be fingerprinted but must be included on the Chaperone Clearance Request form and clearance must be verified by Human Resources.

2. I have clearance for my job; do I still need to be fingerprinted?
I have clearance as a coach for youth sports; do I still need to be fingerprinted?
I have clearance for the high school district; do I still need to be fingerprinted?

• Agencies do not share information, so even though you have clearance for other organizations, you still need to be cleared with DCJESD.

3. I was fingerprinted for a field trip at Olive Grove; do I need to get fingerprinted again for a field
trip at Antelope Crossing?

• Once you have been Livescan fingerprinted with DCJESD, this is a district-wide fingerprint clearance. You will need to complete a new Volunteer application and make sure your name is included on the Chaperone Clearance Request form but you do not need to get fingerprinted again as long as the Human Resources department has a valid clearance on file for you prior to each event.

4. I completed the Livescan process but the school is telling me I am not cleared.

• There could be a few reasons for this. Fingerprint clearance generally takes from 1-30 days and can occasionally take 30-60 days. The Human Resources department checks for clearances daily and will work with the school site for regular updates. If your name is not listed on a Field Trip Fingerprint Clearance Request form, the Human Resources department will not be able to clear you. If your legal name is different than the name the school thinks you go by, the Human Resources department may not be able to verify your name for clearance. If you feel your clearance should already be complete, contact the Human Resources department, 916-770-8877 for more information on your clearance.

5. I work in the Bay area during the week, can I get cleared in the Bay area?
I want to go on my grandchild’s field trip but I live out of the area, how do I get cleared?

• Volunteers can be cleared at any Livescan location throughout the state as long as you use the DCJESD form which is available from the school site.

6. How do I get my name on a Chaperone Clearance Request list?

• Complete a Volunteer application and indicate you want to go on field trips. Volunteer applications are available in the school offices.

Dry Creek Field Trip Chaperone Volunteers,

The safety and well-being of our students remains our highest priority. In accordance with new California legislation, Senate Bill (SB) 848, field trip chaperone volunteers are now required to complete annual Mandated Reporter training. Effective July 1, 2026, volunteers must complete this training before chaperoning on a field trip and renew it annually thereafter.

To meet these state requirements, Dry Creek Joint Elementary School District is providing the required mandated reporter training through PublicSchoolWORKS, our online training and compliance system.

The training may be completed at your convenience prior to your field trip chaperone date. After completing the course, please upload your Mandated Reporter training certificate and completed TB Risk Assessment Form through the online Informed K12 Chaperone Volunteer Application. Once submitted, your documentation will be reviewed and recorded to ensure compliance with District requirements. The assigned PublicSchoolWORKS course meets California’s mandated reporter training requirement for field trip chaperone volunteers. 

The training will help chaperone volunteers:

• Recognize signs of suspected child abuse and neglect.
• Understand the responsibilities of mandated reporters under California law.
• Learn the appropriate procedures for reporting suspected abuse when required.
• Contribute to maintaining a safe and supportive learning environment for all students.
